The Ultimate Guide to Booking a DJ

While it’s never been easier to throw together a playlist on your phone, nothing beats the professional mixing skills of an experienced DJ – not to mention the equipment, lighting and crowd-reading skills that come as part of the package.

A DJ’s role stretches far beyond simply playing tracks. They can blend songs seamlessly, add breaks and samples, and, arguably most importantly, read the crowd and respond to the vibe of the room. While you can provide a DJ with a list of must-play tracks, they can switch things up on the fly, respond to the crowd’s energy and keep the dancefloor moving, creating an unforgettable experience.

Most DJs also come fully equipped with professional sound and lighting equipment, making them so much more than a source of music. From atmospheric lighting to crystal-clear amplification, a great DJ can transform the look and feel of your event and create an experience your guests will remember long after the last song.

If this sounds like what you’re after, keep reading to find out how to go about booking, the costs involved, equipment, and music styles.

The Ultimate Guide to Booking a DJ

Musician Booking 101

Before we get into the specifics of booking a DJ, there are a few basics to consider when hiring any type of live entertainment.

Your venue – does your venue have enough space for a DJ and their equipment? Are there any restrictions on noise, lighting or finishing times? You’ll want to check these details before booking.

Budget – DJ prices can vary depending on the experience of the performer, location, length of the booking and the equipment and lighting included, so decide what you’re comfortable spending before you start browsing.

Performance times – think about when you want the DJ to perform. Will they be providing background music during dinner before taking over the dancefloor later? Do you want music during your drinks reception? What time does the venue require the music to finish?

Equipment and extras – find out exactly what is included in your DJ’s package. This could include speakers, microphones, lighting, a DJ booth and other equipment.

How Much Does It Cost to Hire a DJ?

The cost of hiring a DJ can vary depending on the type of event, the performer’s experience, location, date and how long you would like them to perform for.

A small private party with a straightforward DJ setup is likely to cost less than a large wedding requiring several hours of entertainment, an extensive lighting setup and additional equipment.

Other factors that can affect the price include travel costs, the number and type of speakers required, lighting, microphones and other equipment.

Peak dates can also be more expensive. Summer Saturdays are particularly popular for weddings, while December is a busy time for Christmas parties and corporate events.

When comparing quotes, make sure you check exactly what’s included. A cheaper DJ may not include the same level of sound, lighting or equipment as a more comprehensive package.

At Function Central, our DJ prices range from around £360 to £2,000 plus for DJ/musicians.

What Type of DJ Should I Book for My Event?

There are DJs specialising in almost every type of event and musical style, so it’s worth thinking about what you want from your entertainment before booking.

Wedding DJs are experienced in creating a soundtrack for the whole evening, from background music during dinner to filling the dancefloor after the first dance. They’ll usually be familiar with wedding traditions and formalities, as well as the challenges of keeping a mixed-age crowd happy.

Party DJs are all about getting people on the dancefloor. They can work across different genres and decades, taking requests and adapting their set depending on the crowd.

Corporate DJs can provide music for everything from drinks receptions and awards ceremonies to Christmas parties and large company celebrations. Depending on the event, they may also provide microphones and make announcements.

Listening to a DJ’s mixes and watching videos is one of the best ways to get a feel for their style.

How Far in Advance Should I Book a DJ?

For weddings and large events, it’s best to book your DJ around 6–12 months in advance, particularly if your event falls on a Saturday during the summer. Christmas is another particularly busy period for DJs, with corporate Christmas parties and end-of-year celebrations filling their diaries.

For smaller private parties, you may be able to find a DJ with just a few weeks’ notice, although booking early will always give you more choice.

If you have your heart set on a particular DJ, we’d recommend booking as soon as you have your date and venue confirmed.

What Music Will a DJ Play?

One of the biggest advantages of hiring a professional DJ is the sheer variety of music they can offer. A DJ can potentially play music from multiple decades and genres during one event, moving seamlessly from background music to dancefloor favourites as the evening unfolds.

Depending on the DJ, their repertoire might include:

  • Pop
  • Rock
  • Indie
  • Disco
  • Funk and soul
  • Motown
  • R&B
  • Hip-hop
  • House and dance
  • 80s and 90s classics
  • Modern chart music
  • Alternative music
  • Jazz and lounge music
  • Christmas music

The right DJ will also adapt their music to the crowd rather than simply following a fixed playlist: “Find out how much music the DJ has available. Whether it's chart, Motown, disco, indie, rock, R&B, dance, country or something more niche, a professional DJ should have a huge, varied library and be comfortable adapting to the crowd on the night,” says Northumberland-based DJ Simon Brian.

Can I Request Specific Songs?

Most DJs will be happy to work from a list of songs, genres or artists you particularly want to hear.

For weddings, you might want to provide:

  • A first dance
  • Must-play songs
  • Favourite artists or genres
  • Songs for particular moments
  • A final song
  • A “do not play” list

You don’t necessarily need to create a playlist containing every song you want to hear. In fact, most people prefer to give their DJ a general idea of their musical tastes and let them come up with the rest.

If there are songs that are particularly important to you, however, make sure your DJ knows about them in advance. Likewise, if you have songs you definitely don’t want to hear let them know.

Can Guests Make Requests?

This is something worth discussing with your DJ before the event. Some people love the idea of guests requesting their favourite songs, while others would rather have more control over the music.

A professional DJ can usually take requests while still using their judgement about whether and when to play them. If a particular song doesn’t fit the mood of the dancefloor at that moment, they may save it for later or choose something with a similar feel.

“Some DJs are funny about taking requests. Double check this if you want you and your guests to have some flexibility on the night. Alternatively, make sure they're happy to pre-prepare some essential tracks with you if not,” Says DJ Joel from Surrey.

Does a DJ Provide Their Own Equipment?

In most cases, yes. Professional DJs generally bring all the equipment they need to perform. Depending on the package, this might include:

  • DJ decks or controller
  • Speakers
  • Subwoofers
  • Microphones
  • DJ booth
  • Speaker stands
  • Cables and other accessories
  • Dancefloor lighting
  • Decorative or atmospheric lighting

Exactly what is included will vary between DJs, so check what’s available before booking.

The size of your venue and number of guests may also affect the equipment required. A DJ playing to 50 guests in a small room will have very different requirements from one entertaining 200 people in a large wedding venue.

How Long Does a DJ Usually Perform For?

DJ set times vary depending on the event. A wedding DJ could provide music while guests arrive, play background music during the wedding breakfast and then move into a full evening set after the first dance, or simply do an evening set. A DJ for a private party might play for 2-3 hours if it’s an evening event, whereas daytime events requiring background music may require longer set times.

Make sure you agree the exact start and finish time with your DJ before the event, particularly if your venue has a strict curfew.

How Long Does a DJ Need to Set Up?

This is something that can be overlooked when booking a DJ for the first time. A professional DJ will usually need time to unload, assemble their equipment, connect everything and soundcheck before they’re ready to perform.

The exact amount of time will depend on the size and complexity of the setup, but you should always ask your DJ how early they need access to the venue. It’s particularly important for weddings, where the room may be being used for dinner or speeches before the evening entertainment begins.

Your DJ may also need somewhere suitable to park while unloading their equipment, so check the venue’s access arrangements in advance.

Can a DJ Make Announcements?

Many DJs are happy to make announcements as part of their service, but it’s worth checking before booking.

A wedding DJ might be asked to announce:

  • The newlyweds’ entrance
  • The first dance
  • The wedding breakfast
  • Speeches
  • Cake cutting
  • The bouquet toss
  • The final song

DJ Juice from London believes this is an important part of a DJ’s job: “I think one of the biggest pieces of advice I'd give couples is that choosing a wedding DJ is about much more than just the music. Your DJ is often responsible for the flow of the evening, reading the room, making announcements, and creating the atmosphere that keeps the dancefloor full.”

Corporate DJs may also make announcements for awards, presentations or other parts of the event.

Can a DJ Perform Outdoors?

Yes, DJs can perform at outdoor weddings, garden parties, marquees and other outdoor events, but there are some additional practical considerations. Electrical equipment needs to be protected from rain and moisture, while direct sunlight and extreme temperatures can also cause problems. You’ll need a suitable sheltered area for the DJ and their equipment, as well as access to a safe power supply.

Outdoor events can also be subject to more noise restrictions, particularly if you’re close to residential areas, so check with your venue beforehand. If an earlier finish time is required, DJ Joel suggests mixing up the timings: “Some venues have a music cutoff time as early as 23:00. When dancing typically starts as late as 19:30, the couple might feel a little short-changed by this. I advise having an earlier set start time in this case, maybe even before the couple's first dance and cake-cutting, to compensate.”

What Does a DJ Need From My Venue?

Most professional DJs will bring everything they need to perform, but there are a few things they’ll need from the venue.

Before the event, check:

  • Is there enough space for the DJ and their equipment?
  • How many power sockets are available?
  • Is there a suitable place for the DJ to set up?
  • Can the DJ park close to the venue for unloading?
  • Are there stairs or other access issues?
  • How much setup time will the DJ have?
  • Is there a sound limiter?
  • What time must the music finish?
  • Are there any restrictions on lighting or special effects?
  • Is outdoor music permitted?

Sound limiters are particularly important to check. Some venues use them to control the volume of amplified music, and they can affect how a DJ is able to perform: “For DJs, this is much easier to deal with than live bands, as it's much easier to control volume and EQ, but if you like your music, it's something to consider, and some DJs take great offense at them!” says DJ Joel.

Can I Book a DJ with a Musician?

Absolutely! Why choose between a DJ and live music when you can have both? DJ and sax duos are having a moment right now but you can also book DJs with vocalists, percussionists and guitarists.

Adding a musician to your DJ set will add an element of surprise for guests, give more visual impact and help bring the music alive in a way only live music can. If you’re torn between a live party band and a DJ for your event, this might just be the perfect choice for you.

The Bottom Line

A great DJ does so much more than press play. They can create the atmosphere, read the room, keep the music flowing and adapt their set to the people in front of them.

Whether you’re planning a wedding, birthday party, corporate event or Christmas celebration, the right DJ can turn a good party into an unforgettable one.
